What Is a Price List?
A price list is a document that sets out the products or services a business sells and the price of each. Suppliers, wholesalers, manufacturers and distributors send price lists to customers and sales reps so everyone quotes from the same numbers. A good price list also states the terms behind those prices: the currency, payment terms, minimum order quantities and how long the prices are valid.
What to Include on a Price List
| Section | What to include |
|---|---|
| Header | Company name, logo, contact details and website |
| Dates | Effective date and the date prices are valid until |
| Terms | Currency, payment terms (for example Net 30), and whether taxes, duties or shipping are included |
| Products | SKU or item number, description, unit of sale (each, case, pack), price and minimum order quantity |
| Price tiers (optional) | Wholesale, distributor or volume-break prices |
How to Set the Prices on Your Price List
- Start from your full unit cost. For imported goods, use your landed cost: the product plus freight, duties and fees.
- Add your markup. Selling price = cost × (1 + markup %). Our markup calculator shows the markup and margin side by side.
- Set your wholesale tier. The Excel template applies one wholesale discount to every list price and flags any wholesale price that falls below cost.
- Check the market. Make sure your prices hold up against competing offers.
- Check you can still break even. Use the break-even calculator to see how many units you need to sell at these prices.
Price List vs Quotation vs Invoice
| Price list | Quotation | Invoice | |
|---|---|---|---|
| Purpose | Standard prices for all customers | Prices for one customer's specific request | Request for payment after a sale |
| Sent | Before any order | Before an order is placed | After goods or services are delivered |
| Binding? | Usually an invitation to buy | Often valid for a set period | Records the amount owed |
| Template | This page | Sales quotation template | Commercial invoice template |
Tips for Sharing and Updating Your Price List
- Send a PDF, not the working spreadsheet, so customers can't see or change your costs and markups.
- Date every version and say that earlier price lists are replaced.
- Review prices when your costs move. Supplier increases, freight rates and tariffs can wipe out margin quickly.
- Keep payment terms clear. Longer terms tie up cash. See how Net 30, 60 and 90 terms affect your cash flow.
